SolarWinds® Access Rights Manager (ARM) is built to collect events from OneDrive, complementing its ability to integrate with Active Directory, Exchange, and file servers. Automate OneDrive for Business Group Policy access management

The standardized templates included in ARM make it easier to set specific OneDrive Group Policy user permissions for file sharing, depending on the user. Managing user rights and privileges and setting up authorizations and withdrawals ahead of time can save valuable time. This capability can increase productivity and ease the burden on IT teams. Automating user permissions in this way also helps improve data security with its ability to regulate permissions across specific role types, as when applying the principle of least privilege to multiple users.

Monitor user permissions within OneDrive GPO

Managing OneDrive Group Policy settings requires negotiating many moving parts, especially with OneDrive users spread out internally and externally across the globe. Access Rights Manager provides a comprehensive overview of the users with OneDrive permissions. Check which files have been shared by which users and go directly to the source. In addition, the web-based permissions self-service portal in SolarWinds ARM can allow OneDrive file owners to manage their own data access rights without needing to involve IT administrators.

What is OneDrive?

Microsoft OneDrive is a free, internet-based storage platform available to anyone with a Microsoft account. It is a hard drive rooted in the cloud that can be shared with other people. OneDrive is one of the many Office 365 applications included with a Microsoft email account, making it a very easy and popular option for businesses that want to share files without procuring a separate platform to do so. Users get 5GB of free storage upon signing up and 50 additional GB are available for two dollars per month. OneDrive syncs data across all computers, tablets, and smartphones set up with the same Microsoft account, provided you are connected to a network. File Explorer, the companion piece to OneDrive, offers a simple way of copying files from a computer onto OneDrive as long as the file to be copied is visible to File Explorer. In addition to Windows, the OneDrive app is available for Mac, Android, iPhone, and iPad.

OneDrive for Business is a special version of OneDrive available to users with Office 365 Business plans of SharePoint team sites. The features are essentially the same except OneDrive for Business has more administrative capabilities like OneDrive Group Policy settings.

Is OneDrive secure?

OneDrive is not any more or less secure than other cloud-based platforms. There is always some level of risk involved in storing business files on a cloud server and, while there is a fair amount of security measures in place, most data security precautions are the user’s responsibility. Any workstation with access to OneDrive should be password protected, and operating on a secure connection and not connected to an open Wi-Fi network. Also, the workstation should have the most recent malware detection software and additional physical security measures to verify a user’s identity. Businesses should also be mindful about what content they are storing in OneDrive. For example, login information and PCI DSS regulated data should never be stored on cloud-based servers. Microsoft, like many other companies, reserves the right to scan files for objectionable content and if any is found the files will be deleted. File encryption is available for OneDrive for Business GPO users.

How does OneDrive for Business work?

In terms of core functions, OneDrive for Business is an upgrade of OneDrive. Like the original application, files or folders stored in OneDrive can be shared through a link (based on permissions given) or by changing the file’s settings. What sets OneDrive for Business apart is that it’s a synchronization tool, first and foremost. The app makes it easier for large business teams to share files and make changes to said files all in one location. This is a crucial capability for large teams or for an office that includes remote workers.

Why is OneDrive for Business Group Policy monitoring important?

OneDrive for Business Group Policy is a feature of the Microsoft family of operating systems. It is a group of settings that define what the system will look like and how it will perform for a defined group of users. OneDrive Group Policy settings centralize management on the OneDrive platform and can also help protect computers within that system from data breaches and other security vulnerabilities.

Monitoring OneDrive for Business GPO is important because keeping track of OneDrive Group Policy account sync settings in a business situation with many users can easily become overwhelming. By proactively monitoring OneDrive permissions and automating access management, IT administrators can more effectively watch what changes have been made in OneDrive to help ensure the right users have access to the right OneDrive files and folders.

How does OneDrive Group Policy monitoring work in Access Rights manager?

Access Rights Manager is designed to make monitoring OneDrive GPO simple by automating certain key access management processes, such as setting authorization rights for specific groups of users. ARM also affords administrators greater visibility into OneDrive permissions across their organization by performing scans of OneDrive access rights structures in configurable intervals, which are then stored in an SQL database and assessible in the ARM platform. Events that occur between OneDrive scans are captured in the Logga feature, which can then be filtered to remove excess events to better drill down into the events that matter to you.

In addition to OneDrive, SolarWinds ARM is built to collect and monitor access rights data from Exchange, SharePoint, SAP, and Active Directory, making it easier for IT administrators to monitor user permissions across many major Microsoft applications.
